Student Employment Process


Student Help/FWS/SWS Positions
  1. Department staff person posts the position - On campus postings currently can be submitted through the following link: http://goo.gl/VEAuc and are posted in 2 places – Worksource Washington and College Central Network
    1. STUDENT HELP 100% cost to department
      1. Submit request
      2. Posting exposed on websites
      3. Students referred for hire (after initial screening by CESC/ WS staff)
      4. Department chooses candidate/ extends offer of employment
      5. New Student (not worked on campus previous year) completes Student Payroll Packet
      6. Student returns payroll packet to Department payroll processor
      7. Payroll processor completes payroll authorization & submits to payroll
    2. Federal Workstudy (FWS) – 0% cost to department
      1. Submit request
      2. Posting exposed on websites
      3. Students referred for hire (after initial screening by CESC/ WS staff for eligibility)
      4. Department chooses candidate/ extends offer of employment
      5. New Student (not worked on campus previous year) completes Student Payroll Packet
      6. Student returns payroll packet to Department payroll processor
      7. Payroll processor completes payroll authorization & submits to Danielle Hodgen, Financial aid Director, for verification that student has been awarded & accepted Federal Workstudy & continues to be eligible
      8. Financial aid
        1. Forwards authorization to payroll, if eligible
        2. Returns to department, if not eligible
      9. Payroll enters student into TLR
      10. Student is able to submit TLR, generally within 48 hours
    3. State Workstudy (SWS) – 40% cost to department
      1. Submit request
      2. If position has not been reviewed this year by HR, CESC is required to submit the job description to HR for wage assignment
      3. HR completes wage assignment & returns copies to CESC & Department
      4. Posting exposed on websites
      5. Students referred for hire (after initial screening by CESC/ WS staff for eligibility)
      6. Department chooses candidate/ extends offer of employment
      7. New Student (not worked on campus previous year) completes Student Payroll Packet
      8. Student returns payroll packet to Department payroll processor
      9. Payroll processor completes payroll authorization & submits to Danielle Hodgen, Financial aid Director, for verification that student has been awarded & accepted State Workstudy & continues to be eligible
      10. Financial aid
        1. Forwards authorization to payroll, if eligible
        2. Returns to department, if not eligible
      11. Payroll enters student into TLR
      12. Student is able to submit TLR, generally within 48 hours

2. Student applications are reviewed for job match with the following criteria:

  1. Minimum skill set
  2. Schedule (required work hours)
  3. Eligibility for position
    1. Federal Workstudy (FWS) - 100% of wages paid by FWS (No departmental cost)
      1. Applicants must be awarded Federal Workstudy as part of their financial aid package (students are notified of this in the award letter they receive from financial aid)
      2. Newly awarded applicants must complete a Workstudy orientation (scheduled by financial aid)
      3. OTHER ITEMS TO NOTE:
        1. Federal Workstudy students can only work during the academic year- 10 hours/ week with limited exceptions
        2. FWS positions are assigned minimum wage (9.04/hour)
    2. State Workstudy (SWS) – 60% of wages paid by SWS (40% of wages must be paid by departmental budget)
      1. Applicants must be awarded State Workstudy as part of their financial aid package (students are notified of this in the award letter they receive from financial aid)
      2. Applicants must be a Washington State resident.
      3. Newly awarded applicants must complete a Workstudy orientation (scheduled by financial aid)
      4. OTHER ITEMS TO NOTE:
        1. State Workstudy students can sometimes work during the breaks- depending on their award, and the departmental budget- please consult with Financial aid prior to working a student during the break.
        2. FWS positions are assigned minimum wage (9.04/hour)
Please Note:

Federal workstudy dollars are fully expended at this time. If you have a student who is not currently awarded Federal Workstudy, they can go to the financial aid office and ask to be added to the FWS waitlist, in the event funds become available at a later time.

State workstudy dollars are still available for eligible students. If you have a student who is not currently awarded State Workstudy, they can go to the financial aid office and ask to be reviewed for eligibility.

DEPARTMENTS ARE RESPONSIBLE FOR REVIEWING & MONITORING THEIR STUDENT EMPLOYEE’S WORK HOURS, VERIFYING THAT THEY ARE STAYING WITHIN THEIR APPROVED NUMBER OF HOURS AND BUDGET.
